Automate your workflows

Let rules handle the repetitive steps between the human ones

Every hiring process is full of small, predictable steps: the acknowledgement email, the Slack ping when someone reaches the offer stage, the reminder when an application stalls. In Qosel you build these as automations — visually, no code.

Build an automation

Go to Hiring → Settings → Automation and create a new automation in the visual editor. Every automation follows the same shape:

Trigger → Conditions (optional) → Actions

For example: When an application is createdif the job is in Engineeringsend the acknowledgement email and notify #eng-hiring on Slack.

Triggers

TriggerFires when…
Application createdA new application arrives
Stage changedAn application moves to another stage
Status changedAn application’s status changes (active, rejected, hired…)
Interview scheduledAn interview is booked
Interview completedAn interview finishes
Offer sentAn offer goes out to a candidate
Offer acceptedA candidate accepts
Offer declinedA candidate declines
ScheduledA time-based schedule you define
Application staleAn application has had no activity for too long
Stage SLA exceededAn application sits in a stage past its time limit

Actions

Mix and match as many actions as you need:

ActionWhat it does
Send emailEmail the candidate or a team member from a template
Add notePost a note on the application
Move stage / Change statusAdvance or update the application
Add tag / Update field / Update candidateKeep records tidy automatically
Assign owner / Assign reviewerRoute work to the right person
Add to poolDrop the candidate into a talent pool
Create taskOpen a to-do for a teammate
Slack messageNotify a Slack channel
Webhook / HTTP requestCall an external system
AI processRun an AI step, such as parsing a resume
DelayWait before the next action

Conditions support the operators you’d expect — equals, contains, greater/less than, is empty, in list — so automations run only when they should.

Three automations worth setting up first

  1. Acknowledge every applicationApplication created → send a branded confirmation email. Every candidate hears back, always.
  2. Keep things movingStage SLA exceeded → notify the application’s owner in Slack. Stalled candidates are lost candidates.
  3. Close the loop on offersOffer accepted → create onboarding kickoff tasks and notify HR.

Onboarding has its own automation surface under Onboarding → Automation, using the same trigger–condition–action model for post-hire workflows.

You’re all set

That’s the full journey — organization, team, pipeline, jobs, applications, interviews, offers, onboarding, and automation. As you go deeper, explore the settings under Hiring → Settings for email templates, job boards, approvals, and more.
