Onboard new hires

From signed offer to productive employee

Hiring doesn’t end at “accepted”. Qosel’s onboarding module turns new hires into employees with guided checklists, document collection, e-signatures, and a personal portal — before and after day one.

How employees enter onboarding

  • From hiring — when a candidate accepts an offer and is marked hired, they can be converted into an employee with their details carried over.
  • Directly — add employees manually or import them in bulk under Onboarding → Employees, for hires made outside Qosel.

Build an onboarding workflow

Under Onboarding → Workflows, design your process in a visual builder: which tasks are created, which documents go out, which emails are sent — and when. Typical workflows include:

  • Paperwork — send contracts and policies for e-signature (Onboarding → Documents and Signatures)
  • Forms — collect personal details, bank information, equipment preferences (Onboarding → Forms, with submission review)
  • Tasks — assign action items to the new hire, their manager, IT, and HR (Onboarding → Tasks)
  • Scheduled emails — welcome messages, first-day logistics, week-one check-ins

The new hire’s experience

Before their first day, the new hire receives a magic link — no password needed — that opens their personal onboarding space in the People portal:

people.qosel.com/your-company

There they can work through their checklist, sign documents, fill in forms, read your welcome guide, and meet the team — all before they’ve stepped through the door. On day one they activate their account, and the portal remains their home for documents and forms as an employee.

The guest experience is fully self-contained: new hires see only their own onboarding — never your dashboard or other people’s data.

Track progress

Onboarding → Monitor gives you a live view of every onboarding in flight — who’s on track, what’s overdue, and where a nudge is needed. Onboarding has its own automation rules too, under Onboarding → Automation.
